Outlook is good for calenders, appointments, diaries and such (and mail, of course), but it isn't a database. But I don't assume you maintain all the details of all projects in the diary now, and copy that to the 2 other managers. That's not what diaries are for.
Time to start researching project management software. If it is web-based (can be managed and viewed from a browser), you can include a link to the project in the invitation. But a Word document or an Excel spreadsheet on a shared server or in the shared documents area of Outlook might work also to everybody's satisfaction.

I am looking for a diary that is basically this....
http://www.ryman.co.uk/1830043216/Ryman-Diary-2012-D10-Week-To-View/Product
In software form!
Currently, we have to schedule in appointments, meetings, projects, etc and have to write everything manually on this paper diary. We then have to sync this diary on a weekly basis with 2 other managers, which is extremely time consuming! We would love a program which can be accessed on our computers (and therefore be edited with ease) with also a facility to add start and end dates to avoid writing in a project every single day that it occurs!
Please let me know if you have any thoughts! I have tried Outlook calendar but I cant seem to figure out how to show all details of a project in week view, it will only show the "subject" whereas I need to be able to open a page and see the name of the project, the staff working on it, and any costings occurred.
