Recipient's address on envelopes

Apr 18, 2005 8:32PM PDT

I am trying to help a friend who tells me that until last week he was able to open a new document in Word, type a letter, and then when he was ready to print it, go to Envelopes and Labels - and the recipient's address would automatically show up in the preview window.

He says that suddenly that is not happening (worked last week, not working this week). The window is blank. I've been unable to help him because I didn't realize that Word could do that.

He insists he's not using mail merge or addresses that are already in any database, just the addresses that he types in the body of the current letter.

Is he crazy? I've tried every help menu I can find. We are both using Office 2000.

Thanks,
Patsy

Patsy,

I don't believe Word is smart enough to recognize a part of a letter as something that should be put in different document automatically.

A manual copy/paste wouldn't be too difficult to do it and better than retyping. And, for me, it would be necessary, in fact.

Thanks Kees,

That's what I told him, but he insists that he has been doing it that way for years. And suddenly last week it stopped working.

I actually found a workaround on another web site. If you select the text for the address and then go to Tools/Envelopes and Labels the highlighted text will appear in the recipient window. But he still insists that until last week he didn't even have to do that.

I'm stumped.

Your friend is absolutely correct...

Using Word 2003 this auto pickup of the address has always functioned as your friend describes. Noted this also in previous version of Word.

Some setting has changed or some Word critical update is needed. I would check for Word updates first. If no help then he could try uninstalling and re-installing the Word software.

Hope this helps.

What works for me...

when not using a template forematted letter...Simply selecting/high-lighting the address in the letter prior to openning Envelopes and Lables automatically inserts the recipients address.

Well, he's back in business. After highlighting the address in one document and having it show up in the envelope window, it seems that all the documents after that do it automatically.

I still think it's pretty weird, and don't understand why it isn't mentioned in any of the help menus, but I'm also glad I found out about it.

Thanks for all your replies and for taking the time to help me out.
