IT Service Booking software

Jun 25, 2009 6:36PM PDT

Good day

I hope all is well?
I was hoping someone can help me or advice me with this.I'm looking to get software for our comapany that will let us book in computers using a client base, with serial numbers. So, let say that a client's computer gets booked in for the second time, that the serial number or something from the program can tell me that the machine was booked in before. Almost like history tracking.

At the moment it is running very primitive, paper-style. writing every bit of info down, even if it is for the second time. Where maybe you can just find the recorded history by serial or something and show you what was done before and then have it booked in again.

If the software is available as free utlities or paid software.. all advice are welcome, and appreciated

regards

This really depends on the scale of your company.

If you don't have more than 1000 customers, just use any spreadsheet or word processing software you like (free or paid) to keep track of anything you do. If it's few info and one person: make 1 workbook with a line for each serial number. If it's a lot of info: make one workbook for each serial number, or one workbook per customer with a sheet for each of his computers). Nothing is wrong with having a folder with 1000 files if you can pick the right one using My Computer. It's a perfect prototype anyway to determine your requirements, and it's more accessible than a paper-based administration.

If it's a bigger company, you can consider any database application (locally installed or web-based) for CRM (customer relationship management) or order administration (integrate with orderintake, workflow, time writing, stock and billing if you feel like it).

It can work out

Thank for such a quick reply on this topic

I agree with you in total. As all companies, most I have seen at least, starts of smaller than what they would like it to be, but as a growing company, we are investing in making it bigger. expanding to more areas. The setup is not going to run as a standard for every workshop, but for my office / workshop use, we will have a client base of 100 to 1000 clients(planning to get more).

I think the Spreadsheet idea will work, but having to setup tables and everything to look, uhhhmm can I say.. FANCY, will be a bit of time to have a template ready. I was thinking of an application that does the basic work..Laying out info. Where I will just do input.

The info must be quick and easy to access as we want to have one page, or record to be printed, lets say for the last 2 weeks on what we did, which indevidual files will make it again a bit of an effort to get that again.

Unless you say we can have a web-based booking system, then we even be able to do that for the entire company, sharing the same data intake.

I have reviewed an application called Filemaker, they explained it to be a database application to keep anykind of information, so to say, creating any type of database. But the application doesn't have a good looking GUI. It looks a bit plain, I rather go with Access then, and make it look nice myself. again, the effort. I must sound lazy, but it's because I have to keep up with a couple of other things, adn my database won't be my first priority. But it would make things a lot better if it works out.

I'll see if I can can search using what you gave me on order administration or CRM.

If you have more to help me with, I would mean a lot.

Thanks again for the advice. Really appreciated
WTM
