Question

How too stop Outlook 2010 from downloading duplicate emails

Mar 3, 2020 5:26PM PST

Hi,
My Windows 7 - Outlook 2010 for some reason has started downloading email as far back as 2016. It all started when I was having problems with my emails only downloading 1 day at a time, for example I had to hit the send/receive button each time to get emails from today, yesterday, the day before etc. The only thing I changed was under "Internet E-mail Settings" then "Advanced" I unticked "Remove from server after 100 days". Ive now changed it back but its still downloading duplicates". Can you help me to stop doing this and also help to delete duplicates please.
thank you kindly,
Cheers - HaloTop

Answer
Have You Done This?
Mar 3, 2020 7:24PM PST

Using Outlook 2010 here and this seems to fix that issue. In the Control Panel, click on the "Mail" icon, then the "Email Accounts" button, then click once on your current email account in the "Email" tab to highlight it, then click on the "Change" heading button directly above it. At the next window, click on the "More Settings" button, then the "Advanced" tab, then UNCHECK the box next to "Leave a copy of messages on server". Click on OK, then the "Next" button to let Outlook send you a test message. Then the Finish button.

Hope this helps.

If you delete these mails from the server manually (via their webmail) they can't be downloaded again. Then, if you tell your e-mail program to delete them immediately (which is the default setting) it will never happen again.
If the immediate deletion doesn't work for some reason, try another e-mail client. Does it work in Thunderbird? If it doesn't either, contact the mail provider. If it works fine in Thunderbird, and not in Outlook, delete the mail account there and add it again. What happens?

Be sure to delete ALL current email messages that are on the server using webmail and start over again with the Outlook settings we suggested.

Hope this helps.

Avoid Or Prevent From Downloading Duplicate Emails
Mar 4, 2020 11:32PM PST

1. Open the Send/Receive Groups dialog box:
A. In Outlook 2010 or highflier versions, click the Send/Receive Groups > Define Send/Receive Groups in the Send & Receive group under Send / Receive tab.
B. In Outlook 2007, click the Tools > Options, and then click the Send / Receive button under the Mail Setup tab.
2. In the Send & Receive Groups dialog box, click the Edit button.
3. In the new opening Send & Receive Setting – All Accounts dialog box, select the email count in the left bar, and then click the Account Properties button.
4. In the Internet E-mail Settings dialog box, go to the Delivery section under the Advanced tab, and disable the Leave a copy of messages on the server temporarily.
5. Click OK button to exit the dialog box. After you configuring the accounts’ setting, it will automatically avoid downloading duplicate emails that caused by multiple email accounts receiving same emails.

Note: The above method is valid for POP3 email account type. If your Email account type is SMTP, for example the Gmail, you are not able to find the Delivery section under Advanced tab in the above Step 4
